Step-by-step guide

Your availability is the days and times you're available for coaching work. Follow this step-by-step guide to set your availability in the Acuity calendar.

Sign in to Acuity and change your password

  1. Click the link in your ‘Set your Availability’ email to open Acuity.
  2. Enter your sign-in details from the email.
  3. Change your password by clicking ‘My Account’ on the left-hand side of the page.
  4. Type in your temporary password then choose a new password (you only need do this the first time you sign in).

Sync your digital calendar(s)

You can sync your online personal/work calendar with your Acuity calendar, so any appointments, bookings or other commitments will automatically show in Acuity.

  1. Click ‘Sync with other calendars’ on the left-hand side of the homepage.
  2. Choose the calendar (e.g. Google, Outlook) you want to sync with from the list on the left.
  3. This takes you to your sign-in page for your digital calendar account. For example:
  4. Select the account you want to sync with.
  5. Scroll down to the bottom and confirm you’d like to sync the account.
  6. In Acuity, click in the calendar dropdown menu and select the calendar you want to sync with.
  7. Set other recommended settings:
    • Set automatic reminders to be sent before appointments.
    • Tick the box ‘Hide event title and only show “Busy” to other users’ to keep your events private.
  8. Click ‘Save’
  9. To un-sync your calendar, scroll down and click ‘Disconnect’. For example:

Set your availability

You can set regular weekly hours or set different hours for specific days. You can also set regular hours and change specific hours for individual days if you need to.

Set regular weekly hours

  1. In the column on the left of the homepage, select ‘Availability’.
  2. In the ‘Regular Weekly Hours’ section, make sure ‘I have regular hours every week’ is checked.
  3. Enter the hours for each day of the week you’re available.
  4. Click ‘Save Regular Hours’.
  5. To override hours for specific days, click specific dates to change or set your hours.

Set different hours for specific days

  1. In the column on the left of the homepage, select ‘Availability’.
  2. In the ‘Regular Weekly Hours’ section, uncheck ‘I have regular hours every week’.
  3. Click ‘Save, switch to Specific Days’.
  4. In the calendar that appears, click on a specific day.
  5. Enter your available hours for that day and click ‘Set hours’.
  6. Repeat steps 4 and 5 until you’ve added all your availability.

Please note: dates or times left blank in your calendar will show as ‘unavailable’.
